1. Inventory Requirements
To prepare the consignment note, a detailed inventory is required. For each shipment, please provide:

  • A general description of contents per box (e.g., dishes, clothing, shoes).
  • The number of boxes, pieces of furniture (chairs, tables, wardrobes), and other large items.
    A detailed list of each individual item is not necessary. This information helps prevent items from being left behind in the vehicle.


2. Packaging Requirements
All goods must be properly packed in sturdy boxes (preferably moving boxes or banana boxes), plastic containers, or suitcases. It is not permitted to provide goods in plastic bags, garbage bags, or other non-rigid packaging. Exceptions are only allowed upon prior agreement.
The client is fully responsible for proper and secure packaging. Dakota Transport B.V. is not liable for damage caused by inadequate packaging.


3. Weight Limits
Boxes, suitcases, and plastic containers may weigh a maximum of 20 kg per item. For heavier suitcases or containers, a maximum of 75 kg per cubic meter applies, and prior consultation is required.


4. Weight Limit per Cubic Meter
The standard rate is based on a maximum weight of 75 kg per cubic meter unless otherwise agreed in writing. If exceeded, the price will be based on the actual weight rather than volume, due to the vehicle's maximum load capacity.


5. Hollow Spaces
Filling furniture, cabinets, or other hollow objects with heavy items is not allowed. Soft items like blankets, sheets, and pillows are permitted.


6. Volume Deviations
The volume you specify may differ from our actual measurement. Empty space may occur when loading items of various sizes. The volume measured by our driver is binding. Any extra cubic meters will be invoiced afterward if applicable.


7. Excess Volume at Loading
If the volume turns out to be larger than previously stated, we reserve the right not to take the excess goods.


8. Loading and Unloading
Loading and unloading generally take place at ground level at the curbside/front door. Other situations must be discussed in advance. The first 45 minutes are included. After that, a fee of €65 per hour (excluding VAT) applies.


9. Assistance with Loading and Unloading
The client must arrange sufficient help. The driver delivers goods to the curb/front door only. No assistance is provided inside the home, on stairs, or on other floors, unless requested and at the client's own risk.


10. Parking Arrangements
Ensure there is sufficient parking space for the van with trailer (approx. 14 meters). Also allow enough maneuvering space.


11. Food Items
Non-perishable food items are allowed. Perishable goods (refrigerated/frozen) are not permitted. If provided anyway, this is entirely at the client's own risk.


12. Pick-up and Delivery Dates
We reserve the right to change the agreed pick-up and/or delivery date. You will be informed in good time via email or WhatsApp.


13. Change of Date or Address
Date changes are possible for a fee of €125 (NL/BE). A custom fee applies for Spain.


14. Accessibility of Pick-up/Drop-off Location
Locations must be accessible to our vehicle combination. Narrow, steep, or unpaved roads are not accessible. An alternative delivery address may be required.


15. Prohibited Items
Illegal or prohibited items are not allowed. If suspected, we will report it to the authorities.


16. Transport of Cars, Motorcycles, E-bikes, Fatbikes, Racing Bikes, Mountain Bikes, and Caravans
We are not insured for transporting cars, motorcycles, e-bikes, fatbikes, or caravans. The client must arrange their own transport insurance. Transport is at the client's own risk.


17. Liability for Delays
We are not liable for delays caused by force majeure such as traffic congestion, weather conditions, technical issues, strikes, government actions, floods, wildfires, landslides, or other delays.


18. Order Cancellation
If cancelled within 7 days before transport, cancellation fees may apply, such as a percentage of the transport cost or the full deposit.


19. Content Inspection
We do not open packaging. The content is entirely the client's responsibility. We assume the contents are legal and correctly declared.


20. Damage Claims
Damage claims must be reported in writing within 48 hours after delivery, including photos and a description. Claims submitted later will not be processed.

Dakota Transport B.V. is not liable for damage to goods caused (in part) by incorrect, insufficient, or missing packaging by the client/sender.


21. Acceptance of Terms and Conditions
By placing an order, the client declares to have read, understood, and accepted these terms and conditions of delivery.
